Loom & Bloom Counseling (“Practice,” “we,” “us,” or “our”) is operated under Araceli Warners LLC and provides virtual counseling, wellness coaching, consultation, and supervision services.   • Wellness Coaching (non-clinical, available nationwide/internationally)

  • Supervision & Consultation (for professionals and trainees)

All services are delivered exclusively online via secure, HIPAA-compliant platforms.

2. Information We Collect

When engaging in services, we may collect:

  • Personal Identifying Information: name, date of birth, contact details, emergency contact

  • Health Information: clinical history, therapy notes, assessments (counseling clients only)

  • Payment Information: billing address, payment details (processed securely via third-party processors)

  • Technology Information: email, IP address, and device/browser details (collected automatically by hosting platforms for security and functionality)

We only collect information necessary to provide safe, ethical, and professional services.

3. How We Use Information

We use your information to:

  • Deliver clinical, coaching, consultation, or supervision services

  • Maintain records as required by law and professional ethics

  • Process payments and manage billing

  • Communicate with you regarding appointments, reminders, and relevant updates

  • Ensure compliance with applicable laws and licensing requirements

We do not sell or share your information with third-party marketers.

4. Confidentiality & Exceptions

Counseling and supervision services follow strict confidentiality standards in compliance with HIPAA and professional ethics. However, confidentiality may be broken under the following exceptions:

  • Suspected child abuse, elder abuse, or abuse of vulnerable adults

  • Threat of harm to self or others

  • Court order or legal requirement

Wellness coaching and consultation services are not clinical treatment and are not bound by HIPAA, though we maintain the highest level of discretion.

5. Telehealth Risks & Consent

By engaging in services, you acknowledge that telehealth:

  • Involves electronic communication, which carries potential risks (e.g., interruptions, technical failures, unauthorized access).

  • Requires you to ensure a private, safe environment during sessions.

  • Is not appropriate for emergency or crisis situations.

If you are experiencing an emergency, call 911 or go to your nearest emergency department.

6. Data Storage & Retention

  • Clinical records are securely stored in HIPAA-compliant electronic health record (EHR) systems.

  • Payment data is handled through secure, PCI-compliant processors; we do not store card information.

  • Emails, forms, and documents are encrypted when possible and only retained as long as legally or ethically required.

7. Your Rights

Depending on the nature of your service, you may have the right to:

  • Access or request copies of your records (counseling clients only).

  • Request corrections to inaccurate or incomplete information.

  • Withdraw consent to services at any time.

By accessing or using our services, you agree to the following:

  • Eligibility: Counseling services are only provided to individuals physically located in states where the therapist is licensed.

  • No Guarantees: We cannot guarantee outcomes of therapy, coaching, or consultation.

  • Professional Boundaries: Services are professional in nature and do not create relationships outside of agreed-upon services.

  • Payment Policy: Fees are due at the time of service unless otherwise arranged. Retainers for consultation or supervision are non-refundable.

9. Third-Party Platforms

We may use third-party, HIPAA-compliant platforms (e.g., video conferencing software, EHR systems, and secure payment processors). While we select vendors committed to security, we cannot guarantee their systems against all risks.

10. Changes to Policy

We may update this policy periodically. Updates will be posted on our website with a revised “Last Updated” date.
